The short version
We do not use advertising, analytics or tracking. There are no user accounts. We only store what you send us through our forms, and only to run the community.
Who is responsible
This website is run by the Hotdoggamers community team. This policy follows the Swiss Federal Act on Data Protection and, for visitors from the EU and EEA, the GDPR.
What we collect and why
Visiting the website
Our hosting provider keeps technical logs (IP address, date and time, page and browser) to run the site securely. We do not use these logs to identify visitors.
Contact form
If you write to us, we store your Discord name, the optional name and your message so we can answer you. Messages are also posted to a private channel of our team Discord server. We delete them when they are no longer needed.
Event news
If you sign up for event emails, we store your email address and the date you agreed. You can ask us to remove it at any time.
Tribe board and showcase
Posts and screenshots are shown publicly after we have checked them. They include the name, message or contact details you choose to enter. Please do not post personal data you do not want to be public. We remove posts on request.
Polls
Votes are anonymous. To allow one vote per person, we store a code made from your IP address that cannot be turned back into the address, and a small cookie in your browser. If you suggest a poll, we store the question, the options and the optional name you enter.
Spam protection
The forms limit how often one visitor can send a message. For this we use the same kind of irreversible code of your IP address, and we use it for nothing else.
Cookies and similar storage
We only use a few small items that make the site work. We set no advertising or tracking cookies. The details are in the cookie notice.
Other services we use
To show some content, your browser contacts other services, which then receive your IP address:
- Google Fonts delivers the typeface used on this site.
- Instatus delivers the live status of our servers.
- Discord delivers the member list in the chat box, when it is switched on.
- Discord also receives the messages you send through the contact form.
These services have their own privacy policies.
Where your data is stored
The website is hosted by Infomaniak in Switzerland. Data we receive through forms stays on this server and in our team's Discord server. Discord is operated by a company in the United States.
How long we keep data
- Contact messages: until we have dealt with them.
- Email list: until you ask us to remove you.
- Board posts and showcase entries: until you ask us to remove them or we take them down.
- Votes: as long as the poll exists.
Your rights
You can ask us what data we hold about you, to correct it, to delete it, or to stop using it. You can withdraw a consent at any time. Please contact us through the contact page and tell us how we can recognise your data, for example your Discord name.
If you think we handle your data wrongly, you can complain to the Swiss Federal Data Protection and Information Commissioner (FDPIC) or to the data protection authority of your country.
Security
The site uses an encrypted connection (HTTPS). Data from forms is stored in a protected area of the server that cannot be opened from the web, and the admin area is protected by a password.
Children
This site is not meant for children under 16. If you are under 16, please do not send us personal data without a parent's permission.
Changes
We may update this policy when the website changes. The date at the top shows the latest version.
